How TradeQuote handles personal data in TradeQuote.
Last updated: 8 September 2026
Who we are
TradeQuote is operated from Ireland. For the personal data described here, TradeQuote is the data controller — we decide why and how it is processed. You can reach us at support@tradequote.ltd.
Where you use TradeQuote to store details about your own customers, you are the controller of that information and we act as your processor, handling it only to run the service for you.
What we collect and why
- Account data (name, email address, login credentials, sign-in provider): to create and secure your account. Legal basis: performance of our contract with you.
- Business profile (business name, trading name, trade, address, phone, tax number, logo, rates): to produce your quotes and invoices. Legal basis: contract.
- Content you enter (customers, jobs, job photos, quotes, invoices, payments, notes): to provide the service. Legal basis: contract.
- Support messages: to answer your questions. Legal basis: legitimate interests in supporting our users.
- Usage and device data (pages viewed, feature use, approximate location from IP address, device and browser type, error reports): to keep the service working, diagnose faults and improve it. Legal basis: legitimate interests, or your consent where required for non-essential analytics.
- Security logs (IP address, sign-in events): to prevent fraud and abuse. Legal basis: legitimate interests and legal obligation.
- Voice or text you send to the assistant: to turn a spoken or written job description into a draft quote. Legal basis: contract. Do not include information you do not want processed by an AI provider.
We do not sell personal data, and we do not use your customer records to train AI models.
Who we share it with
- Hosting and database providers, who store the service and your data on our behalf.
- Paddle.com, our Merchant of Record, for the sale of subscriptions, billing, tax compliance, invoicing and refunds. Paddle handles payment details directly; we never see your full card number.
- AI providers, to process assistant requests you choose to send.
- Analytics and error-monitoring providers, to measure use and capture crashes.
- Professional advisers (legal, accounting) and authorities, where we are required or permitted by law.
International transfers
Some of our providers process data outside the EEA. Where that happens we rely on an adequacy decision or on the European Commission's Standard Contractual Clauses, together with encryption in transit and access controls, so your data keeps an equivalent level of protection.
How long we keep it
We keep your account and business content for as long as your account is active. If you delete your account we delete or anonymise your data within 30 days, except where we must keep records longer — for example billing and tax records, which are retained for the period required by law. Backups are cycled out within 90 days.
Your rights
Under the GDPR you can ask us to:
- give you access to a copy of your personal data;
- correct data that is inaccurate or incomplete;
- erase your data;
- restrict how we process it;
- provide it in a portable, machine-readable format;
- stop processing based on legitimate interests, including any direct marketing;
- withdraw consent at any time, where processing is based on consent.
Email support@tradequote.ltd and we will respond within one month. If you are unhappy with our answer you can complain to your data protection authority — in Ireland, the Data Protection Commission (dataprotection.ie).
How we protect your data
Data is encrypted in transit and at rest. Access to your records is enforced at the database level so one business can never read another business's data, job photos are held in private storage reachable only through short-lived signed links, and administrative access is limited to staff who need it. No system is perfectly secure, but we review these measures regularly and will notify you and the relevant authority of a qualifying breach without undue delay.
Cookies
We use essential cookies to keep you signed in and secure; these cannot be switched off. We also use limited analytics and error-monitoring storage to understand how the app is used. See our cookie notice for details and how to control them.
Changes
If we make a material change to this notice we will update the date above and, where the change affects you significantly, tell you in the app or by email.
